Terms of Service

Welcome to ExpenseReports.app (the “App”). These Terms govern your use of the App across all supported platforms, including the Progressive Web App and the native Android mobile application. By using the App, you agree to these Terms. If you do not agree, do not use the App.

1. Nature of the service

ExpenseReports.app is a local-first application for creating, organizing, backing up, and sharing expense reports and receipt evidence.

The App:

  • stores working data locally on your device (browser storage for the Web app, private sandboxed storage and Room database for the Android app);
  • does not require an ExpenseReports.app account;
  • does not operate a backend server that stores your receipt/report data;
  • offers optional account-authorized backup snapshots in your Google Drive application-data area;
  • can create readable report files (PDF) and structured archives (ERX) locally and pass them to an operating-system share or download flow;
  • provides on-device camera receipt scanning and text recognition where supported;
  • may use rough location permission to suggest nearby cities locally from offline data;
  • does not provide Gmail search or import.

The App provides software functionality only. It is not an accounting, tax, legal, records-management, or guaranteed archival service.

2. Eligibility

You must be at least 16 years old to use the App. By using it, you represent that you meet this requirement.

3. Your responsibilities

You are responsible for:

  • the accuracy, legality, and appropriateness of data you enter, attach, back up, export, or share;
  • reviewing generated reports and OCR-extracted values before submission;
  • choosing appropriate recipients and destinations for readable report files;
  • complying with employer, tax, retention, privacy, and third-party requirements;
  • maintaining access to your devices and Google account;
  • keeping separate copies when your retention obligations require them.

Do not upload or share material you are not authorized to use.

4. Local storage and backup

Local storage can be removed by you, the browser or operating system, device-management software, storage pressure, profile changes, or device failure. Optional Google Drive backup reduces but does not eliminate data-loss risk.

Google backup does not use an ExpenseReports.app recovery key or application-level encryption. Google may technically process/read the snapshot as storage provider. Authorization to the same Google account controls restore access.

Backup availability also depends on your Google account, available quota, network, browser/OS support, Google APIs, compatible app versions, and the integrity of the stored objects. The App does not guarantee uninterrupted backup, restoration, or indefinite retention.

Disconnecting Google authorization does not delete remote backup data. Deletion is a separate confirmed action. Clearing local application or browser data does not automatically delete remote backup data.

5. Sharing and readable files

Readable PDFs and ERX archives may contain sensitive financial details and receipt evidence. When you use the native share sheet or download a file, you choose and control its destination. Files sent to Google Drive or another destination through the share sheet are handled by that platform, not by the App's hidden backup integration.

You are responsible for confirming recipients, access controls, retention, and deletion after sharing.

6. Privacy

Our data practices are described in the Privacy Statement, which is incorporated by reference. Current Google-integration capabilities and scope details appear in the integration inventory.

7. Third-party services

Optional Google Drive backup and destinations selected through native sharing are provided for convenience. Your use of third-party services is also subject to their terms and privacy policies. Service availability, API limits, account restrictions, provider-side retention, and provider actions are controlled by those third parties.

We are not responsible for third-party outages, policy changes, storage loss, account actions, or a recipient's handling of a file you chose to share.

8. Acceptable use

You agree not to:

  • use the App for unlawful, fraudulent, or harmful purposes;
  • attempt unauthorized access to another person's device, Google data, reports, or backups;
  • interfere with the App or bypass technical protections;
  • use the App to distribute malware or infringing material;
  • misrepresent the App as a hosted or managed records service.

9. Intellectual property and license

ExpenseReports.app, including its design, code, workflows, branding, and documentation, is owned by its creator. Subject to these Terms, you receive a limited, non-exclusive, non-transferable, revocable license to use the App for personal or internal business purposes. All rights not expressly granted are reserved.

10. No warranty

The App is provided “as is” and “as available” without warranties of any kind. We do not guarantee availability, accuracy, compatibility, successful backup or restore, regulatory sufficiency, data persistence, or uninterrupted third-party access. You use the App at your own risk.

11. Limitation of liability

To the maximum extent permitted by law, ExpenseReports.app and its creator will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for data loss, lost profits, lost reimbursements, or loss caused by browser/device behavior, sharing choices, user error, or third-party services.

Some jurisdictions do not allow certain exclusions or limitations, so portions of this section may not apply to you.

12. Changes and termination

We may update, suspend, or discontinue the App or these Terms. The current Terms will be posted with their update date. You may stop using the App at any time. Stopping use does not automatically remove local data, remote backup objects, or files you previously shared.

13. Governing law

These Terms are governed by the laws of the jurisdiction in which the App's creator resides, without regard to conflict-of-law principles, except where applicable law requires otherwise.
